For the corporate event manager planning an awards event requires liaison with a number of key stakeholders. The Matariki Hospitality Industry Awards is an annual awards event run by the Northland Chefs Association. As Northland Chefs is a not-for-profit association, Collective Concepts was responsible for obtaining sponsorship to obtain financial viability for this event. This began with creating sponsorship invitations to be sent out to potential sponsors, then negotiating sponsorship packages, contracting of sponsors and finally ensuring that the agreed stakeholder benefits were delivered and received.
Finding the perfect venue is an important part of planning an awards event. This event had a history of being held at Forum North in Whangarei and Collective Concepts, having held the event management contract for the Matariki Hospitality Industry Awards for 3 years consecutively, was responsible for creating a new theme annually that wowed the attendees and sponsors and was befitting of such a prestigious awards ceremony. The theme was not only incorporated into the decorative aspects but was also taken into account with menu selection and design of printed collateral.
Maintaining strong supplier relationships is integral in planning an awards event. Collective Concepts works with our preferred suppliers or the client’s chosen suppliers as an extension of our business ensuring everyone is kept well informed of the requirements for the event.
A media package was developed which included press releases and advertising across print and radio mediums. This was to increase awareness of the event, encourage industry and public nominations via an online nomination form through to online voting and ticket sales for the awards dinner.
Collective Concepts was responsible for managing the overall event budget which included generating sponsorship, organising contra agreements and selling tickets for the event as well as obtaining quotes from suppliers right through to finalising all accounts for the event. Easy to understand reporting on a regular basis ensured the client was kept well informed with how the event was tracking.
On-site event management was required to ensure the smooth running of this event. This included producing briefs for all speakers such as MC’s and sponsors and the event was stage managed to ensure it ran to time.
