Wedding Coordination

You’ve planned every detail and locked in your dream line-up of suppliers. Now you need a professional coordinator to bring it all to life. That’s exactly what our wedding coordination service is for.

After your complimentary introductory consultation, you’ll meet with your Wedding Coordinator twice in the final stages of planning. The first meeting is a site visit and/or final details meeting, about eight weeks before your wedding. The second is your wedding rehearsal, where you can confidently hand over the last of the details and know your day is in safe hands.

Introductory consultation – complimentary

• A relaxed first conversation about your vision for the day and the level of coordination you’d like from us.

What’s included

• Final site visit and details meeting** | with you, or on your behalf, covering venue and seating layout, adverse weather plans, catering and beverage service, and who’s doing what (and when) on the day.
• Supplier confirmations | we re-confirm every booking inclusion with your suppliers, so nothing is left to chance.
• Your wedding timeline and run sheet | a detailed plan shared with your venue, suppliers, wedding party and MC, so everyone is working from the same page.
• Role checklists | clear, simple guides for your MC, wedding party and key family members, so everyone knows exactly what’s expected of them.
• Wedding rehearsal | we attend and run the rehearsal alongside your celebrant, and take a final handover of any last-minute details.
• Personal touches set up | place cards, gift and card table, and the other special details you’ve lovingly prepared.
• On-the-day coordination (approx. 10 hours)** | from receiving key deliveries and overseeing venue set-up, styling, catering, beverage service and entertainment, through guest arrivals until the formalities wrap up (usually after the first dance). We also manage compliance, including health and safety and alcohol management, and quietly handle anything unexpected | so you can simply enjoy your day.
• Post-wedding wrap-up | we make sure plans are in place so the venue is left clean, rubbish and recycling are removed, and hire equipment is returned.
• Support throughout your planning | ongoing advice and helpful resources by phone and email, whenever you need us.

 

Add-on: Wedding Planning Guidance

Price: from $1950* incl GST

Love the idea of planning your own wedding, but want an expert in your corner? Our Wedding Planning Guidance add-on gives you regular one-on-one consultations, along with recommendations, advice and planning tools to keep you on track. It pairs with our wedding coordination service, so the person guiding your planning is the same person bringing it all together on the day.

What’s included

• A schedule of regular planning consultations: we keep you on track with your planning checklist and review your budget together. Each consultation is shaped around where you’re at and what you’d like help with, and can include:
  • supplier recommendations to suit your style and budget, plus tips for tracking inclusions, confirmations, deposits and final payments
  • refining your styling, signage, and ceremony and reception flow
  • menu planning and beverage selection
  • wedding party and MC roles
  • planning speeches and key songs
  • set-up, pack-down and the general run of the day
  • sustainable wedding planning
  • health and safety and alcohol management

Allow 1.5–2 hours for each consultation. Afterwards, we’ll add the key notes to your planning checklist, so you leave with clear next steps.
